Privacy Policy

Last updated 25 October 2026

This explains what information Rooted collects and how it is used and protected. It describes how the app works today, and we will update it before any new kind of information is collected.

Who we are

Rooted is a young adults Christian community initiative run by volunteer coordinators supported by the Praying Mothers ministry. It serves members from several churches. You must be at least 18 to use it.

To reach us about anything in this policy, use the Feedback page (you can create a free account to reach it). It goes straight to the coordinators.

The Praying Mothers website and prayer requests

Rooted is one of the offerings of the Praying Mothers ministry, and the ministry's public website is part of the same service. You can read it without an account. The ministry website and members' area have their own Privacy Policy.

  • Prayer requests sent through the Praying Mothers website include your name, an optional email address, a category and your message. They are private: only coordinators assigned to Praying Mothers prayer can read them. They are never posted publicly, and never placed on the members' prayer wall automatically.
  • We do not set a deadline for removing prayer requests yet. A coordinator can delete one at any time, including if you ask us to.
  • Please do not include details that would identify other people, or emergency information. Online prayer is not a substitute for professional help or emergency services.

Being a Praying Mothers coordinator does not give access to Rooted members' applications, and being a Rooted coordinator does not give access to prayer requests sent to Praying Mothers. Each coordinator is assigned to Rooted, Praying Mothers or both.

What we collect

Account: your name, email address, and the time you accepted our terms.

Eligibility: your date of birth, used only to check the minimum age. It is never shown to other members.

Profile and application (optional unless a form says otherwise): display name, city or region, church, occupation, interests, languages, a short bio, your faith journey, church involvement, spiritual interests, a profile photo, and whether you want community only, introductions, or both.

Review records: your application status and its history, interview times you are offered or book, and coordinators’ private notes and decision reasons.

Participation: event RSVPs (going, waitlisted, cancelled), saved resources, in-app notifications, your email preference, and any feedback you send. We record who sent each piece of feedback.

Prayer wall: the posts you write (request, praise or encouragement), who you chose to share each with, whether it shows your name, your comments, and which posts you have said you are praying for. Posts are deleted 12 months after they are written, or sooner if you delete them.

Safety: the people you block (kept private to you), and reports you send, or that are made about you or your content, with who made them and what was done.

Introductions (optional): if you start the questionnaire, your answers about faith, values and what you are looking for; whether you are a man or a woman and who you would like to meet; your age range and other preferences; which details you agreed to share; and the introductions suggested to you with each person's answer.

Security records: an audit log of coordinator actions (such as application decisions and role changes), and technical logs kept by our infrastructure providers.

What we do not collect: private messages between members, a public member directory, or anything from your phone or contacts. If we add any of these, we will update this policy first.

Sensitive information

Details about your faith and what you hope for in relationships can be sensitive. Sharing them is your choice, and you can leave optional fields blank. We use them only to review your application, run the community and, if you opt in, arrange introductions.

We can’t promise confidentiality beyond the access limits and practices described here.

Who can see what

  • You can see and edit your own profile, application, bookings, saved resources and notifications.
  • Other members cannot browse profiles, applications or the member list. Members see event and resource content, not each other’s details.
  • Coordinators can see the information their role needs. Coordinators who handle membership see applications, interview times and notes. Coordinators who handle events see RSVPs and attendee lists. Coordinators who handle community see feedback, including who sent it. Every coordinator can read members’ profile information, including what you wrote about your faith journey, because names and details appear on attendee lists and feedback.
  • Prayer wall posts are seen only by the people you choose: just you, the prayer coordinators, or all approved members. If you choose to appear anonymous, other members see “A member”, but coordinators who handle community moderation can still see who posted so they can keep everyone safe. A post you keep for yourself is never visible to coordinators.
  • Your introductions questionnaire can be read only by the coordinators trusted with introductions. A possible introduction sees your first name and only the details you ticked, and your email only after you both say yes (and only if you chose to share it). Neither person is told who declined.
  • People you block are private to you. The person you block is never told.
  • Reports are seen only by coordinators who handle community moderation, and each time one is opened it is recorded in the audit log.
  • Interview notes and decision reasons are visible only to membership coordinators, never to you or other members.
  • The audit log and role management are limited to super admins.
  • Profile photos are stored privately and visible to you and membership coordinators only.
  • Online meeting links are shown only to approved members, even for public events.

These limits are enforced in the database, not only in the app’s screens.

Sign-in emails and magic links

We use passwordless sign-in. When you enter your email we send a one-time sign-in link. Keep it private, don’t forward it, use only links from the Rooted sign-in page you opened, and request a new link if it stops working. If you think someone else has used your link, tell us right away.

Links expire after a short time (by default one hour) and are meant to be used once. They are issued and checked by our authentication provider, Supabase.

Other emails we send

Approved members can receive an email when a new event or resource is published, when a coordinator sends an announcement, and a reminder before events they RSVP to. You can turn these off on your profile page.

Some emails are part of the service and are always sent: sign-in links, emails about your own application (status updates, interview invitations, confirmations and reminders), and a short notice that an introduction is waiting for you. That notice contains no details about the other person.

Companies that help us run the service

  • Supabase provides our database, sign-in and file storage, so it handles account, profile, application and photo data. Its privacy policy applies to it.
  • Vercel hosts the web app, so it handles your requests and keeps technical logs such as IP address and browser details. Its privacy policy applies to it.
  • Resend delivers our emails, so it receives recipient addresses and message content in order to send them. Its privacy policy applies to it.

Each of these companies has its own terms about how it processes data. Please read them if you want the detail.

Why we use your information

To manage accounts, review applications, schedule interviews, run events and the resource library, send the notifications described above, arrange introductions you opt into, keep the community and our systems safe, and meet legal duties.

No selling, advertising or tracking

We do not sell your information and do not use it for advertising. The app has no analytics or advertising trackers. If that ever changes, we will update this policy first.

Cookies

We use only the essential cookies needed to keep you signed in. We do not use analytics, advertising or social-media cookies. Our providers may log technical data needed to deliver the service.

How long we keep information

Prayer posts are removed automatically. For everything else, a coordinator deletes information by hand when its period ends.

  • Active members: while you remain a member, then until you ask us to delete your account.
  • Unfinished sign-ups (no application submitted): deleted after 12 months without activity.
  • Declined applications: personal details deleted 12 months after the decision. We may keep a minimal record that a decision was made.
  • Interview notes: deleted 12 months after the application decision.
  • Audit log: up to 3 years.
  • Prayer posts and comments: deleted 12 months after they are written, or when you delete them.
  • Introductions questionnaire: deleted straight away when you withdraw from introductions or delete your account.
  • Introduction records (who was suggested to whom, and each answer): kept up to 12 months after the introduction ends.
  • Reports and the action taken: up to 3 years, limited to what is needed to keep the community safe.
  • Record that a deleted account existed: up to 3 years, restricted to authorised coordinators.
  • Blocks: until you remove them or delete your account.
  • Email and technical logs, and backups: kept by our providers under their own schedules. Deleted data can remain in backups until they expire.

Deleting your account

On your profile page choose “Delete my account” and confirm. Deletion happens straight away and cannot be undone. It removes your sign-in, profile, application, RSVPs, saved items, prayer posts and comments, your blocks, your photo and your introductions questionnaire. Feedback you sent stays but is no longer linked to you. For safety and legal reasons we keep, for up to 3 years and restricted to authorised coordinators: a short record that your account existed (your name, email, the outcome of your application and a summary of any introductions), reports you made or that were made about you, including your name on them, and the audit log. These are deleted when their retention period ends.

Your choices and rights

You can edit your profile at any time and turn off optional emails on your profile page. To ask for a copy of your information, to correct it, or to have it deleted, use the Feedback page (you can create a free account to reach it). It goes straight to the coordinators.

Security

We limit who can see information, protect it with database access rules and encrypted connections, and keep secrets out of the app’s code. No system is perfectly secure, so we can’t guarantee that information will never be accessed without permission. Tell us if you notice a problem.

Changes

When we make a material change we will notify members, for example by email or an in-app notice, before it takes effect. The date at the top shows the latest revision. See also the Terms of Use and the Community Guidelines.
